To track solar leads properly, every enquiry from every source has to land in one list with an owner and a next follow-up date. Leads fall through the gaps between a phone call, a WhatsApp chat, an IndiaMART alert and an Excel sheet, so the first job is to close those gaps.
1. Bring every source into one pipeline
List where enquiries actually come from: calls, walk-ins, your website, referrals, WhatsApp, IndiaMART and old spreadsheets. If a source cannot be entered or imported into the same list, that source will leak.
Import your existing Excel sheets once so you do not start from an empty system, and connect the sources that can send leads automatically.
2. Catch duplicates by mobile number
The same customer often enquires twice, once on IndiaMART and once on a call. Two salespeople then call the same person with different prices. Matching on the mobile number stops that before it starts.
3. Give every lead an owner within minutes
A lead with no owner is a lead nobody calls. Decide the rule (by area, by source, round robin) and apply it the moment the lead arrives. Each salesperson should see their own leads and follow-ups, and managers should see the team.
4. Always set the next follow-up
The pipeline is only as good as the next date on each lead. After every call, write what was said and set when you will call again. A reminder for that date is what turns a list into a routine.
5. Make the site survey a stage, not an afterthought
For solar, a lead becomes real when someone visits the roof. Track the survey as a stage with the date, the photos and the measurements, so the quotation starts from facts.
6. Measure what matters
Review these weekly. The source that brings the most leads is not always the one that brings the most orders.
- Leads by source, and how many of each source were won.
- Leads with no follow-up date.
- Time from enquiry to first call.
- Quotations sent and how many were accepted.
How RAYVO does this
RAYVO keeps leads from calls, your website, IndiaMART and Excel imports in one pipeline, catches duplicates by mobile number, assigns leads by your rules, scores them, and reminds the owner of the next follow-up. A site survey is a stage on the lead, and a quotation can be made from the lead in one step. Each person sees their own leads and managers see the team.
