Good solar CRM software for an Indian installer does five things well: it collects every lead into one list, tells you who to call first, keeps follow-ups from slipping, carries the lead into a GST quotation, and works on the phones your field team already has. Judge every product against those five before you look at anything else.
1. Count how your leads arrive today
Write down every way an enquiry reaches you: phone calls, your website form, IndiaMART, WhatsApp messages, walk-ins, referrals from agents and dealers, and old Excel sheets. The CRM has to take all of them without someone retyping.
Ask the vendor to show you an IndiaMART lead and a spreadsheet import arriving in the pipeline, and what happens when the same mobile number comes in twice.
2. Check that it ranks leads, not just stores them
A list of 200 leads is only useful if the team knows which five to call this morning.
- A score or label for each lead (for example Cold, Warm, Hot) that comes from something real, such as bill size, roof availability and response.
- A clear owner on every lead, and a rule for who gets the next one.
- A flag for leads nobody has answered within your own time limit.
3. Follow-ups must be impossible to forget
- Calls and site visits scheduled against the lead, with a view of what is due today and what is overdue.
- Each person sees their own work; the manager sees the team.
- Quotation follow-ups that are scheduled for you after a quotation is sent.
4. Look for solar-specific steps, not a generic sales pipeline
A generic CRM stops at a won deal. A solar business then needs a survey, a design, a quotation with GST and the subsidy, a project with DISCOM paperwork, material, payment and service.
- Site survey with roof, load and connection details, and photos with a GPS location.
- A quotation built from the lead, with HSN codes, GST by place of supply and the PM Surya Ghar subsidy as its own line. Confirm the current subsidy rules on the official PM Surya Ghar portal.
- A won lead that becomes a customer and a project without retyping the details.
5. Test it on a phone, with weak signal
Your surveyors and installers work on rooftops. Open the product on an ordinary Android phone, switch on airplane mode, add a lead or a photo, then switch it off again. Updates saved without signal should be sent by themselves.
6. If you work through agents or dealers
Many Indian installers get a large share of leads from referral agents. Check whether an agent can have a login of their own that shows only their leads, and whether commission is calculated by a rule you set and paid through your accounts instead of in a notebook.
7. Questions to ask in the demo
- Can I export all my data at any time?
- Can a salesperson see another salesperson's leads, and can I stop that?
- What happens to a lead when its owner leaves?
- How do you handle GST invoices and the subsidy paperwork after the quotation?
- Who do I talk to when something breaks, and how fast?
How RAYVO does this
RAYVO keeps leads from calls, website, IndiaMART and spreadsheets in one pipeline, catches duplicates by mobile number, scores leads from 0 to 100, routes them by your rules, and carries a won lead into a GST quotation and a project. Field agents get their own login, and the app installs on Android and iPhone and keeps working offline. See the for the full list, and judge it against this checklist like any other product.
